The ADA System enables a full management of individual life & group life policy files. While being connected directly to remote agencies the system ensures quick upload of application forms to be rapidly processed by the underwriting department. Once the policy file have been created, workflow management continues with premium processing, policy holder benefits for claim or loans, front desk and other services throughout the life cycle of the file. The system easily linked to management systems that exist in the customer’s environment, such as agency, client or policy management without requiring an in depth technological familiarity with these environments. Loading up new document to the system can be better controlled by verifying data in an external system while filing and processing documents like policy applications, physician’s statement, claim applications, renewal notices, policy terms, etc. The application employs the strongbox module for high encryption of the system’s storage array, making it impossible to view files by the system personnel. The application uses high volume scanning and the creation of batches. The batches are automatically distributed to indexing workstations according to the level of importance. The application monitors the incoming of digital fax and specific mailboxes and automatic uploads the received items to the system followed by an automatic workflow initiated to the appropriate correspondence. Client’s requests processing is greatly improved by live evidence and with it customers satisfaction.

Non-Life

The ADA System easily integrates with your management systems to enable a quick filing, retrieval and processing of documents like policy applications, coverage confirmation letters, renewal notices, policy terms, etc. The application employs high volume scanning using industrial scanners and the creation of batches.  The batches are automatically distributed to indexing workstations according to the level of importance. The application monitors the incoming of digital fax and specific mailboxes and automatic uploads the received items to the system followed by an automatic workflow initiated to the appropriate correspondence. Travel and Health

The ADA System easily linked to the existing travel and health management system and supports all the upload and retrieval of the accompanied documents for travel health insurance plans that include coverage for hospital care, surgery, office visits, prescription drugs and medical evacuation. The application monitors the incoming of digital fax and specific mailboxes and automatic uploads the received items to the system followed by an automatic workflow initiated to the appropriate correspondence. Customer Services

Many times when dealing with a customer request, copies of documents or additional documents may need to be exchanged between the business and the customer. The ADA System ECM & Workflow suit with the built in ability to send and receive documents via email, fax, and secure portal services is key to rapidly handling these document transactions. Documents that may have required mailing in the past can be easily shared electronically, increasing the speed of response to the customer. In addition customer service handles customer inquiries, it may be necessary for the representative to notify an account manager, or others personnel about the customer’s need and route information contained in documents to the appropriate staff person. The ADA System assists with this process by using features such as scheduling and workflow. Documents could be added to a scheduler for follow up on a specified date or routed to a workflow process to handle a customer request. While the items are in process either on the schedule or in workflow, customer service and other staff would have quick visibility as to what step of the process the document is in. This facilitates answering customer questions as the document moves through an organization. Quick access to the information needed to support the customer improves service and better both the company and customer experience.

Finance

The ADA System finance application manages all the incoming and outgoing documents for the finance department. Furthermore, the application manages all approval process for acquisition and expenses with related forms and attached documents. Any approval process can be linked to the client legacy system for the retrieval and validation of data from the legacy system database. The application can set reminders for bill due-dates, monitor expenses transactions and identifies bottleneck in the work process. Thus, all approval acquisition processes are streamlined and controlled with high security level.

Human Resource

ADA System helps the Human Resource department to have more efficient and formalized payroll, evaluation and selection processes. It helps to accurately manage the employee’s data and prevent unauthorized personnel from accessing the files. Furthermore, It knows exactly who viewed, change or added any document in any file.
