The Professional Scanning Module enables a professional high volume scanning operation in house. A complete system of batch scanning processing is available using this module. The ADA System can employ industrial scanners and the creation of batches. The batches are automatically distributed to indexing workstations according to the level of importance as defined by the application. The system enables combining the Workflow module into the scanning and indexing process, so that the documents will be automatically or manually brought into the workflow mechanism. The bar code module can be integrated into the batch indexing to detect separation between multi page documents and/or perform automatic indexing of the documents. The ADA System Automated Upload Service (IMP) enables massive quantities of files to be uploaded from external sources. The files can be transmitted using secure lines using HTTP, FTP, or simple copy procedure. The process supports the uploading of thousands of files per minute. The process is fully automated and e-mail messages are generated when the process is completed.
The Automatic E-Mail Archive Module enables monitoring of any Email (MS-Exchange, Gmail, Yahoo, etc.) mailboxes and automatically loading mail items from these mailboxes. The mail items can be loaded as a bundle (identifying all items in mail item). It is also possible to create from the mail item one multipage TIFF file and load it into the system as a batch file for indexing with the batch-processing module. The system can “listen” to many specific mailboxes and upload mail to the archive according to the pre-determined instructions. Once the mail is saved on the system servers’ automatic workflow or other tasks may follow automatically. The system automatically can generate a “Mail-Back” response to the sender, informing the sender that the request has been received with a given trace number.
The Automatic Digital Fax Module enables monitoring of any incoming Digital Fax and automatic loading into the system of the received items. The fax image can be loaded directly into a document library or as a batch document for indexing with the batch-processing module. The system can “listen” to many incoming fax lines and upload faxes to the archive per the given instructions for each of the monitored lines. Once the fax is saved on the system servers’ automatic workflow or other tasks may follow automatically. The system automatically can generate a “Fax-Back” response to the sender, announcing the request was received with a given trace number. Faxes containing bar code can be process automatically using the ADA System Bar-Code Module.
Reports and printouts generated by mainframe and legacy systems can be easily uploaded to the ECM system using the COLD (Computer Output to Laser Disc) module. A simple wizard will guide you in configuring the upload of the spool files and inserting the appropriate metadata fields from the report. Integrating the reports with the rest of the entity’s documents has never been easier. The system is fast and can load thousands of pages per minute. Using this module, you can save on search time and paper costs while finding your desired data quickly and easily. Text search is also available. The reports are condensed and locked in the system storage. Additionally, all of the access authorizations and restrictions are valid for the COLD module as well.
In certain situations, there is a need to transfer a batch of documents with the metadata to a distant location. The Batch Transfer module allows this action with an automated scheduler and full control of the process. The service is being used in areas were a wide communication bandwidth is not available. Documents are transferred to the main system at hours of low activity (at night). In addition, a common use of this module is the transfer of documents between different locations that use ADA System servers. This module enables transfer of documents from one ADA System server to another. The transfer includes the document’s content and its metadata. Documents can be transferred to more than one server simultaneously. Documents can be transferred through an unlimited number of servers route. Indication regarding the location of the document while in progress can be obtained at any given time. In the event of a failure at either reception points, the system can send the document again according to pre-defined number of times. The module maintains a log recording historic activity of document transfer. In addition, the system provides real time information of the status of the documents’ delivery within the system.
